Role Overview:

Document Control Clerk - Rancho Santa Margarita, CA 

The Document Control Clerk compiles and maintains control records and related files to release blueprints, drawings, and engineering documents to manufacturing and other operating departments.  

 

Work Environment:

  • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear.  The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl.   

  • Specific vision abilities required by this job include close vision, and ability to adjust focus. 

  • The noise level in the work environment is usually moderate (office/cubicle environment with computers, fax machines and printers operating) to loud (manufacturing environment with large machinery operating.) 

 

Key Responsibilities: 

·       Examines documents such as blueprints, drawings, change orders, and specifications to verify completeness and accuracy of data

·       Confers with document originators or engineering liaison personnel to resolve discrepancies and compiles required changes to documents.

·       Posts changes to computerized or manual control records, releases documents, and notifies affected departments.

·       Maintains document control vault.

·      Prepare for inside and external auditors.

·       Move and re-organize electronic files.

·       Prepares requests for reproduction of documents.

·       Operates reproduction equipment.

·       Assist in light editing work.

·       Filing and sorting documents

·       Filing processing electronic releases through our ERP system (IFS preferred)

·       High school diploma or general education degree (GED); 3-6 months related experience and/or training; or equivalent combination of education and experience

·       Proficient in Microsoft Office Suite

·       Experience with an ERP (inventory, manufacturing software) system.

·       Experience with PDM (Product Data Management) systems and process a plus.

·       Experience with document management software (digital paper) is desired.

·       Experience using microfilm machines, copiers, and fax machines.

·       Hybrid schedule – two days remote, three days on-site
